How to use ChatGPT or Copilot for medical billing work

  1. Start from your own rough version. Type or dictate what you would have written anyway, however messy. A prompt built on your real note beats a blank-page request every time.
  2. Say who it is for and how long it should be. "Two sentences for a supervisor" and "a checklist a new hire can follow" produce completely different output from the same facts.
  3. Strip the identifying details first. Patient names, diagnosis codes, insurance ID numbers, or anything from a chart -- that is HIPAA territory. Describe the claim generically -- a claim denied for missing prior authorization -- and let the biller attach real patient details after, inside the practice's own system.
  4. Read every specific it produces. AI fills gaps with plausible invention — dates, amounts, names, policy numbers. If you did not supply it, do not trust it.

Not with the patient's name, ID number, or diagnosis still in it -- that's a HIPAA problem regardless of which tool you trust. What's public here is the safe, de-identified drafting; anything touching a real patient record belongs in guided practice with a review step, not a general chat window.

Why does my AI-drafted appeal letter keep getting denied again?

Appeal structure isn't what gets a claim approved -- clinical medical necessity is, and AI can't see the chart to argue that. Use it to draft the letter's shape and tone, then have the actual justification reviewed by the ordering provider before it goes out. A well-written letter with a weak argument still gets denied.
